Filtering and segmenting the database

Segments give you an insight into all people in Molequle. Segments can be filtered by a set of filters or sorted based on any attribute.

What is a segment?

In Molequle, a segment is a group of records defined by rules set by you or your colleagues. Segments exist for all entities, such as people or accounts, and provide relevant lists of records to users with sufficient access.

Records that match the defined rules are automatically added to the segment, and

Molequle offers two types of segments: shared segments, visible to all users with sufficient access, and user segments, which can only be seen by the segment creator.

Why should I create segments?

Creating segments can maximise the effectiveness of your Molequle instance by providing insights into key aspects of your organisation. Records in segments can be sorted by automatically calculated scores, such as relative score, relative urgency, or predictive score, allowing for targeted messaging and higher conversion rates.

Using segments in Molequle can result in more effective utilisation of the platform and improved outcomes for your organisation. For example, you can use segments to engage all individuals within a segment via Marketo or other extensions.


How do I create segments?

  1. Navigate to the Molequle entity for which you want to create a segment. In this example, we focus on people but the same applies to accounts as well. In the upper left corner, click on the person icon:

  2. On the person overview page, choose "Shared Segments" or "My Segments" (user segments) depending on the type of segment you are looking for:

    Depending on your screen size and configuration, the sections with a list of all segments may be not be visible. If you don't see this selection, please open a list of all segments by clicking on the "List" icon.

  3. If you have the necessary permissions to create a shared and/or user segment, you can click on the "New segment" button to create a segment.

  4. This will open a modal asking you for the segments name. Enter a name and click "Save" to save the segment.

Add filters to segments

Filters can be used to filter down the list of individuals in a specific segment. You can choose between a variety of different rules. Adding new filters to a list can be done by clicking on the "Add filter" button.

Select the attribute

The first step to create a segment is to select or search for the attribute that all individuals in the segments should be filtered by.

Define the filter condition

Depending on the type of attribute and organisation specific settings, Molequle presents you with a list of different conditions to filter by, e.g. "is" only finds exact matches whereas "is not" is the negated version of "is".

Set the value

You will either be able to set any value or you will be presented a list of available choices, e.g. for attributes of type lookup.

Once done, click "Save" which will automatically update the list of individuals in this segment.

To ensure changes to a segment are saved and potentially visible to other users, you must save your changes. If there are unsaved changes in your segment, Molequle will display a "Save segment" button next to the "Add filter" button.

Clicking this button provides the option to overwrite the existing segment or create a new one.
