Limiting the views of users via groups

Molequle's group feature allows you to control the access of users to specific people, accounts, or actions. When you assign a group limited access to a particular entity, such as people, users assigned to that group will only be able to view or manage those entities based on the specified criteria.

If you want to manage existing groups, navigate to the portal and click on "Groups" in navigation menu. This will display a list of all existing groups with a possibility you update, delete, or create new ones.

Creating or updating groups

You can create a new group or update an existing one by clicking on the edit icon or the "Create group" button located in the upper right corner of the groups page. This will open a dialog where you can provide the following details:

  • Name: Enter a descriptive name for the new group.

  • Description: Provide a brief description of the group.

While we work on an interface for the group filters, please contact support with your use-case and requirements.

Assigning groups to users

One or multiple groups can be assigned to users in the "User" section of the portal.

How does the group filter work?

For example, let's say your organisation uses a country field with two-letter ISO codes as allowed values. If you create a group that limits visibility to only people from "FR" (France), any user assigned to this group will only be able to view or manage people from France.

What happens if I assign a user to more than one group?

If you (based on the previous example above) create another group that limits visibility to people from "DE" (Germany) and assign the same user to both groups, the user will be able to view or manage people from both France and Germany. This is because multiple group assignments are exclusive and don't limit each other.

Can I limit access to other entities as well?

You can limit access to people, account and actions. Other entities are not supported yet but we are planing to release more group filter capabilities in future versions of Molequle.

Can I allow some users to see all entities?

For certain use-cases, such as administrators, you may want to give them unrestricted access to the database. If you have such requirements in your organisation, you can allow specific users to bypass the group assignment. You can find more information in the user documentation.
